Overview
Supporting five school districts and over 20,000 students county-wide, the Napa County Office of Education (NCOE) champions innovation by fully engaging students in their learning and staff in their growth as effective leaders. NCOE takes a cutting-edge approach to education, investing in long-term innovation through ongoing training and support.
With almost 400 employees spread over multiple offices and school sites, NCOE needed a flexible org chart to provide directory functions and serve as a user-friendly onboarding tool.
Business Challenge
The legacy PowerPoint org charts NCOE used were slow to create and update and didn’t meet all the organization’s requirements. NCOE needed its org charts to serve multiple purposes — as both a traditional org chart and a directory that could be updated and shared on the NCOE SharePoint site.
Each department was tasked with updating their specific sections of the org chart, and NCOE required a solution that was easy to use for non-technical staff. “We had to conduct mini-training sessions for each department,” says Rebecka Anderson, NCOE’s Director of Training & Technology Support Services. “We needed a tool with an intuitive interface that was fairly simple to learn.”
The org chart also changed frequently, and Anderson and her team needed to minimize the administrative time and effort required to manage those changes.

Solution
Anderson found Organimi through a Google search. “We were looking for something flexible that could change over time and was easy to share,” she says. “We looked at several options and felt that Organimi stood out as the easiest solution to use for non-technical people.”
With Organimi, each department could create, update, and share org charts for their specific team. “With our large number of employees, we can’t print a single chart with everything on it,” explains Anderson. “It’s nice for users to be able to zoom in on each department and see what they need to see.”
The NCOE team also found the Organimi org charts ideal for onboarding new employees, as they could walk the new hires through the organization’s structure and various departments. “It was a great way to help new team members understand the organization,” says Anderson.
Benefits
With Organimi, each NCOE department could reduce the time it took to create and update their org charts. Minimizing update times helped ensure that, when charts were distributed, they contained the most current view of the organization.
Anderson believes the Organimi charts deliver significant benefits for new hires. “It’s hard joining a big organization and trying to figure out who’s who,” she says. “Now, our new team members can learn from the org charts during orientation, then refer back to them when needed. It’s reassuring for them.”
The updated org charts are also helpful during the grant writing process. “We do a lot of grant writing and often have to explain our org structure and key roles,” explains Anderson. “Having ready-made, updated org charts is a real time-saver.”
Anderson is looking forward to digging into the capabilities of Organimi’s recent release, Version 7.0. One potential project will be to integrate Office 365 with Organimi to capture updates automatically. Anderson’s initial impressions of Version 7.0 are positive. “I like how it has pre-made themes in place,” she says. “And I’m happy that the new version is still user-friendly and simple to use.”
