Overview

Based in Manitoba, Canada, pork producer HyLife was rapidly growing to meet worldwide demand, especially in Japan and China. This growth included expanded operations facilities, new barn operations, the purchase of a second plant in Windom, Minnesota, and the hiring of 1,000 additional employees.

With that growth came the need to replace the existing manual org chart creation process. The HyLife HR team was looking for a solution to provide detailed, updated org charts to facilitate business planning and improve internal communications.

Business Challenge

Before adopting Organimi, the HyLife HR team used Vizio and word processing applications to create and update company org charts. That process was time-consuming, and it was almost impossible to complete personnel changes and distribute the updated org charts. 

The existing org charts also had limitations. While users could look up individual employees, they could not view whole departments or reporting structures.

The HyLife team also needed to make the org charts more accessible to all employees. A cloud-based application would allow for updates from multiple sources and simplify distribution to HyLife’s dispersed employee base.

To determine the best solution, the HyLife applications team conducted a detailed comparison of leading org chart tools based on functionality, ease of use, cost, and integration capabilities. Based on their review, they scheduled a demo with Organimi.

Solution

The HyLife team found Organimi simple to implement and learn. They were able to migrate all employee information to the Organimi solution quickly.

Once the initial migration was complete, HyLife implemented daily ‘integration syncs’ each morning to ensure the org charts were always up to date. “We refresh our charts to reflect new employees, people who have left, and role changes,” says Louis Durand, an applications analyst central to HyLife’s evaluation and implementation of Organimi. “We also use Organimi’s color-coding features to identify functional teams and highlight open positions.”

The HyLife management team has found Organimi to be a valuable tool in the planning process. “We can isolate a specific team or section of the org chart,” explains Durand. “Management can create different ‘what if’ scenarios and move things around, all without impacting the actual Organimi chart data.”

Benefits

The HyLife HR team was able to simplify the org chart creation and update process using Organimi, saving time and reducing work effort. “Our HRS system administrator loves the Organimi solution,” says Durand. “She says it’s very useful.” Even better, administrators for each team and location have been granted access to update their own org charts, making the process even more efficient.

Distributing the org charts is simple as well. “Our administrator logs in, and with a few clicks can print or send a chart,” says Durand. Org charts can also be posted and shared on the company intranet. With ready access to the company org charts, HyLife teams have improved their internal communications and collaboration.

Durand also looks forward to leveraging the Organimi ‘matrix’ org chart capabilities.  “We create cross-functional, virtual teams on the fly for different projects,” he explains. “The matrix charts will help to identify and manage those teams, making them more effective.”

As HyLife continues to expand their use of the solution, Durand and his team appreciate the support they receive from Organimi — from participation in beta testing new features to the speedy resolution of technical issues. “There’s been quite a few features that we’ve requested that Organimi has added for us,” Durand says. “The level of support we receive from Organimi is one of the things we’re very pleased with.”
